What is fuel station automation?

Fuel station automation is the practice of capturing forecourt activity electronically instead of manually. Controllers read each dispenser so every litre is recorded with its price, product, pump, nozzle and attendant. Automatic tank gauge probes report level, volume, water and temperature. POS, fuel card and accounting modules settle against the same data. The result: pumped volume, sales value and remaining stock reconcile daily, instead of being estimated at month end.

Why manual stations lose money quietly

A hand-run station is not usually robbed in one dramatic event. It bleeds — half a percent here, a mis-keyed price there, a delivery that was 300 litres short and nobody measured. Over a year those slivers add up to more than the software costs, which is why the first month after go-live is often the month an owner finally sees the size of the gap.

The reason manual control fails is not dishonest staff. It is that the four records of a sale — the pump counter, the attendant’s sheet, the till, and the fuel actually left in the tank — are written at different times by different people, and nothing forces them to agree. Automation removes the choice: the pump itself writes the record.

What a rollout involves

Automation is a hardware project as much as a software one. We do not quote before we have stood on your forecourt and looked at what is behind the pump housing — because the honest answer to “can you integrate my dispensers?” depends entirely on what is in them.

  • Site survey. Dispenser makes and models, pulser type and condition, tank probes, cable routes, control room, existing tills.
  • Written compatibility confirmation. What integrates, what needs new hardware, what it will cost.
  • Configuration. Products, prices, currencies, tanks, shifts, attendants, card rules, credit limits, user roles.
  • Installation. Cabling, controller, probes, POS hardware, network — scheduled around trading hours.
  • Data migration. Customer accounts, credit balances, stock and supplier records from your existing books.
  • Training. Separate sessions for attendants, shift managers and owners, in Arabic or English.

What is fuel station automation?

What hardware does it require?

A forecourt controller connected to the dispensers over their pump protocol or pulser output, an automatic tank gauge probe per tank, cabling from forecourt to control room, a POS terminal or workstation, and a network connection for cloud sync. We survey your existing dispensers, pulsers and probes first and confirm in writing what can be reused.

What is wetstock reconciliation?

For each product it compares opening tank stock, delivered volume and dispensed volume. Closing tank reading should equal opening stock plus deliveries minus dispensed volume. A persistent gap points to a leak, a short delivery, a miscalibrated meter or theft. The system runs this daily and flags variance outside tolerance. See tank monitoring.

Can it handle multiple currencies and scheduled price changes?

Yes. Products can be priced in more than one currency with configurable rates, and price changes can be scheduled and pushed to dispensers centrally so an attendant cannot sell today’s litres at yesterday’s price. Across a network, prices can be set once and applied to selected sites.

What happens during a power or internet outage?

The on-site controller keeps recording dispenser and POS activity locally and syncs to the cloud when the connection returns. The system was designed around generator switchovers and intermittent connectivity, so an outage mid-shift does not lose the shift’s data.

Do we have to replace our dispensers?

Usually not. Most dispensers already expose a pulser output or a supported pump protocol, which is what we read. Replacement only comes up when a dispenser is too old to expose either, and the survey tells you that before you commit to anything.

Can it integrate with our existing accounting software?

The suite includes its own accounting and invoicing, and most clients consolidate onto it. Where you need to keep an existing package, the Enterprise tier includes API access and integration work so postings flow across rather than being re-keyed.

Who owns the data?

You do. Your operational data is yours, exportable at any time, and held on the station server plus your cloud tenancy. We access it only for support work you have asked for.
